What is the Email Signature Generator?

It's a free, in-browser WYSIWYG editor that turns your name, role, photo and socials into pixel-perfect HTML signatures for every major email client — with platform-specific fallbacks baked in.

Unlike generic HTML exporters, we auto-detect which client you paste into (Gmail, Outlook Desktop, Apple Mail, ProtonMail, 7 more) and emit the exact HTML dialect that client will render without breaking — no border-radius squares, no missing social icons, no inline-style fights.

How to build an email signature in 5 steps

1
Pick a template
Scroll the 12-template carousel. Your choice applies instantly to the live preview.
2
Edit your details inline
Click any text on the preview — name, role, phone, website — and type. No forms, no back-and-forth.
3
Add photo + socials
Click the photo slot to upload a JPG. Hit the + in the social row to add LinkedIn, X, GitHub, WhatsApp and more.
4
Customise brand colour
Pick from 8 presets or use the colour picker. CTA button and accent update across every template.
5
Copy platform-specific HTML
Hit "Copy HTML Signature". Select Gmail, Outlook, Apple Mail or 7 other clients — we auto-optimise output.

Who this tool is for

Six real professional personas we see daily — and the signature configuration each ships.

Sales rep
Scenario: Cold outreach at 80 emails/day.
Result: Uses the "Executive" template with an embedded Calendly CTA button — booking rate up 14%.
Freelance designer
Scenario: Brand-forward portfolio emails.
Result: "Modern" centred template with round photo + Dribbble + Behance social bar. Reads like a mini business card.
Customer support lead
Scenario: Team of 18 agents at a SaaS.
Result: Exports one standardised "Compact" template, drops brand colour in, every agent looks on-brand in 60 seconds.
Lawyer
Scenario: Confidentiality-heavy outbound.
Result: Uses "Professional" layout with the disclaimer toggle ON — 4-line legal notice auto-appends to every email.
Podcast host
Scenario: Guest outreach + sponsor pitches.
Result: "Social Bar" template turns the signature into a mini press kit: photo, show name, platform links, latest-episode CTA.
Real-estate agent
Scenario: Property follow-ups.
Result: Uses "Bold" header template with phone + mobile + office displayed prominently — 2x more callbacks per send.

Platform-specific setup guide

Every email client has a different signature-install flow. Here are the 5 we document end-to-end — the full Setup Guide in the tool covers 10.

Gmail (web + mobile)
Paste into Settings → General → Signature. The mobile app uses a separate field under account → Mobile signature — paste there too.
Outlook Desktop
File → Options → Mail → Signatures. Paste into the rich-text editor — our Outlook-optimised HTML auto-strips unsupported CSS.
Outlook Web & 365
Gear icon → Mail → Compose and reply → Email signature. Supports modern CSS — use any template.
Apple Mail
Mail → Settings → Signatures. Paste directly — WebKit renders every template beautifully including gradients.
Proton Mail / Tutanota
Settings → Identity → Signature → switch to HTML mode first. Use Minimal or Compact — strict CSS filtering.

8 rendering bugs the generator quietly fixes

× Pasting HTML into Gmail shows raw code
Fix: Make sure you copied from the blue "Copy HTML Signature" button, not by selecting the preview text. That button writes text/html to the clipboard.
× Outlook mangles border-radius into squares
Fix: Pick "Outlook Desktop" in the Setup Guide before you copy. We strip border-radius for that platform only.
× Photo is broken or shows a placeholder
Fix: Photos above 2MB get stripped by Gmail. Upload a JPG between 200-500KB at 200×200px for best results across clients.
× Signature looks huge in reply threads
Fix: Keep total height under 150px. Remove the CTA button and disclaimer for reply-only signatures and use the Compact or Minimal template.
× Social icons appear as blank boxes
Fix: Outlook 2016 blocks SVG entirely. Either switch to "Outlook Desktop" mode or use the text-label versions which work universally.
× Links open inside iframe instead of new tab
Fix: Outlook sometimes ignores target="_blank". Add your CTA URL with the full https:// prefix to maximise compatibility.
× Dark mode inverts my colours ugly
Fix: iOS Mail and Outlook 365 force-invert dark mode. Use our "Bold" or "Headline" template — they are dark-mode tested.
× Signature not showing on mobile Gmail app
Fix: Mobile Gmail uses a separate "Mobile Signature" field. Paste once into Settings → your account → Mobile signature.

Why a proper email signature still matters in 2026

It is your cheapest marketing channel

The average knowledge worker sends 8,700 emails a year. A CTA in the signature = 8,700 free impressions at zero marginal cost. Nothing else in your stack is cheaper.

Trust signal in cold outreach

A headshot + brand colour + verified socials move a cold email from “probably a bot” to “real person with a reputation to protect” in a quarter-second scan.

Brand consistency at scale

One source-of-truth template means every rep, every support agent and every exec sends emails that look like they came from the same company.

Compliance made invisible

For regulated industries (law, finance, healthcare) the disclaimer toggle ships a pre-formatted legal notice on every send — no more “oops, forgot the disclaimer” moments.
